This framework covers the supply of Apple hardware and Software plus associated services from the qualified Vendors.

Workflow to guide you through the mini tender process:

  1. Identify your required APPLE Hardware and/or Software
  2. Check your organisation’s procurement threshold requirements to see if a mini-tender is the appropriate method. E.g. for very small value orders a verbal or email quote from 1 or 3 suppliers may be sufficient to satisfy your procurement rules
  3. Use the email template at TemplateAppleFWMiniTender.doc to compose a mini tender request. Complex mini-tenders should allow 10-15 working days for responses. Simpler tenders should allow 3-5 working days for responses
  4. Email the mini tender request to: HEANET-APPLE-MINITENDER2010@LISTSERV.HEANET.IE. This will email all resellers in the framework. Evaluate responses received with reference to the evaluation criteria used
  5. Award the contract subject to agreed terms and conditions and complete a call-off-contract. Notify the successful and unsuccessful Tenderers. A sample call off contract is located at Template-call-off-contract-Apple.docx.
     

For running a mini-tender against this Apple Framework reasonable practise is to select a subset of criteria originally used in the RFT. E.g. for a mini-tender with no items that require value added services Ultimate Cost 80% and Delivery Ability 20% might be appropriate.  You are free to select your own criteria and weightings. See the sample cost spreadsheet at CostScoringTemplate.xlsx for scoring cost correctly in a mini-tender.

  1. Company background and ability to provide value added services 15%
  2. Quality and level of maintenance, warranty, support and spares proposal offered. 15%
  3. Account management and reporting 10%
  4. Staff and Student purchase ability 5%
  5. Delivery ability 5%
  6. Environmental Characteristics 5%
  7. Online order fulfilment ability 10%
  8. Ultimate Cost 35%
